The brief

The client’s business was growing fast, but operational systems had not kept up. They needed a unified platform to manage drivers, depots, payroll, invoicing and reporting with full accuracy and real time data.

We were tasked with:

  • Building a bespoke courier operations platform for 100+ drivers across multiple depots
  • Designing a driver management system including stops, attendance, holidays, overrides and depot assignments
  • Automating payroll and invoice generation for clients
  • Delivering comprehensive dashboards for expenses, profit & loss, and real time business overview
  • Developing a fully secure, reliable and scalable infrastructure for long term operations

The client’s previous workflow relied on spreadsheets and manual processes, which created bottlenecks, errors in payroll and delays in reporting. Managers struggled to assign tasks across depots, track driver activity or have confidence in the accuracy of financial data. Additionally, any change in one spreadsheet could ripple through the system incorrectly, impacting wages, invoices and reporting.


The challenge was to centralise all operational data in one robust platform, make it real time and provide full visibility to administrators and depot managers alike, all while ensuring the system could scale with business growth and remain accessible for future updates and feature expansions.

We didn’t just replace spreadsheets, we supercharged the client’s entire operation. In just 14 weeks, we delivered a fully custom platform that put every driver, depot and financial process under one roof. Drivers’ stops, attendance, holidays and overrides are tracked in real time. Payroll and invoicing are fully automated, eliminating errors and saving hours of manual work.


Managers now have instant oversight of depots with secure logins and the dashboards provide real time insights into expenses, profit & loss and overall business performance. Behind the scenes, we deployed a resilient DigitalOcean Kubernetes infrastructure, ensuring 99.9% uptime and enabling rapid iteration for future features.


With our Maintain product, we continue to act as the client’s trusted tech partner, supporting growth, optimising performance and ensuring the system scales seamlessly as their business expands.


The system now features:

  • A driver management module handling stops, attendance, depot assignments, holiday scheduling and overrides
  • Automated payroll and branded invoice generation for clients, eliminating errors and saving hours of manual work
  • Depots management with custom permissions for managers and secure logins for oversight of assigned depots
  • Full business dashboards with real time data on expenses, profit & loss and income vs. expenses
